What do you need in order to work with a VA?
These are the essentials: an internet connection; 6-10 hours of work per month (not week) for your VA to manage; an understanding that the VA will be your personal admin, not an impersonal task-based service.
How do you communicate and share files?
Communication is handled via email, instant messaging and telephone. The phone is the virtual replacement for longer one-on-one meetings. Email and instant messaging (IM) are the virtual replacements for the "jotted note" and "quick chat". File sharing can be done via email or by using collaboration software on the internet. If you prefer not to commit to a monthly fee or large software purchase, some collaboration services offer free limited use versions.
How does a VA keep track of her time?
I personally use punch clock software. The software allows me to give my clients interim time reports as needed. How would you know you're getting your money's worth? The same way you would in a normal office. No admin works under complete supervision. A great assistant is measured by the quality of her work, her knowledge of your business, and her professionalism. One of the advantages of working with a VA is knowing you’ll only be billed for the hours worked for you. This means you don’t have to worry about trying to keep her busy or risk expensive and unproductive downtime.
How does a VA set her fees?
I have a 10 hour monthly retainer fee and an hourly fee. My rates are based on my experience and personal value. Most VA's will set their rates based on those criteria.
How will you be billed?
I bill my clients monthly via email. The invoice includes the amount of hours worked and any agreed upon expenses. The bill is payable within 15 days of receipt.
